Learn how to use Livvie Business to easily calculate and track the impact of your food initiatives on the environment, animals, and health.

What can I do with Livvie Business?

Livvie Business is a software application that calculates the positive impact of initiatives aimed at reducing the use of animal-based foods.

Depending on the interests of you and your stakeholders, you can view the impact on 22 parameters representing the environment, health, and animals. Impact predictions help you to make decisions about your food offerings and get support from executives, sponsors, partners, and employees for initiatives. Showing their impact can also motivate customers to choose plant-based more often. You can track the contribution of your transition to more vegetarian and vegan foods to the organisation’s sustainability and social goals based on actual performance data.

You need to provide only limited information about initiatives without complex and expensive ingredient, supply chain, and life cycle analyses. This way, anyone and any organisation can easily use the software and understand the impact of their efforts.

Livvie Business is web-based and accessible from a browser wherever you have an internet connection.

Examples of initiatives that can be tracked with Livvie Business:

  • More vegetarian or vegan options in the (employee) restaurant.
  • Vegetarian or vegan days (e.g. Meatless Monday).
  • Vegan challenges (e.g. Veganuary).
  • Vegan business or event lunch.

Getting started

You’re using Livvie Business for the first time and want to start calculating the impact of an initiative. This guide gives you a quick overview of the main steps to get started.

Create your first project

Click on New project.

In the Project tab, enter a Name and Start date for the project.

Under Duration, enter the duration of an event in number of days, weeks, months, or years. If you create a recurring event, enter the duration of the first occurrence.

For recurring events, switch on the toggle button. Under Recurs every, enter how frequently the event happens in number of weeks, months, or years. Select an End date for the project.

Click Save.

Enter forecast data

When you plan an initiative, you can provide estimates for the future performance of the initiative to understand its potential impact.

Click on the Forecast tab.

Select whether you want to track the project impact based on the number of Participants, number of Meals served, or Weight served.

Click Add country and select the country that represents the cultural context of the project. If you use Livvie Business Pro, you can add multiple countries.

Enter the estimated performance data for a single event.

  • Participants:
    • Enter the estimated number of participants.
    • Enter the estimated number or % of days an average participant eats Without meat, Without fish, Without dairy, and Without egg.
  • Meals served:
    • Enter the estimated total number of meals served, with or without animal ingredients.
    • Enter the estimated number or % of meals served With meat, With fish, With dairy, and With egg.
  • Weight served:
    • Enter the estimated total weight served, including plant-based and animal-based ingredients.
    • Enter the estimated weight or % of Meat, Fish, Dairy, and Egg

 

Click Save.

Enter actual project data

When an event or reporting period has finished, you can enter the performance data to calculate the actual impact.

Click on the Actuals tab. Click on the event you want to edit.

Add a country or edit data as described for forecast data in the previous section.

Changes are automatically saved.

If you use Livvie Business Pro, you can download the project data.

View your impact

Click on the Impact tab.  

Select if you want to view the impact per Project, Event, or Event day or, depending on the initiative type, per Participant, Meal, or 1.000 kg or 1.000 lb.

Click on the parameter to view the impact per event.

1. Manage projects

You may have several food initiatives for which you want to calculate and track the impact. In the Projects view, you can see an overview of your projects and manage them.

1.1 View projects

When you open the application, you first see the Projects view. If you are anywhere else in the application, click on Projects in the main navigation menu to open the Projects view.

In the Project view, you see a list of the projects you have created. The term project can also be interpreted as an ‘initiative’.

Click on the header in the project list to sort projects based on their project name, status, start date, and the date the project was last updated. Click a second time on the header to reverse the sorting order.

If you use Livvie Business Pro, you can manage multiple projects in parallel.

If you don’t see any projects because have not yet created a project, you can start a new project.

1.2 Start a new project

You can see how many projects are available below the project list.

If there are zero projects available, you can delete a project or upgrade or expand your plan.

Click on the button New project to start a new project.

When you start a new project, the Calculator view is opened on the Project tab. Fill out the project information to create a new project.

1.3 Delete a project

You can delete a project in 2 ways:

  1. Click on the dot menu on the right of the project and click Delete. Review the pop-up and click Delete to confirm.
  1. Click on the project or click on the dot menu on the right of the project and click Edit to open the project. Then click on the delete icon in the Project tab of the Calculator view to delete the project. Review the pop-up and click Delete to confirm.

 

NOTE: When you delete a project, all project data is deleted and can’t be recovered. Make sure you extract information you may want to keep for later use.

1.4 Open a project

Click on the project or click on the dot menu on the right of the project and click Edit to open the project.

2. Create and edit a project

A project represents an initiative which can be a one-time event, a recurring event, or a continuous initiative. In the Project tab of the Calculator view, you can edit the details of the project and its recurrences.

2.1 Create a new project

When you start a new project, the Calculator view is opened on the Project tab.

Under Event you need to enter the following information for the event. If you create a recurring project, you need to enter the information for the first occurrence.

Under Start date, select the start date of the project in the date picker by selecting the year, month, and day. Alternatively, you can type the date in the format DD/MM/YYYY.

Under Duration, enter how long the (first) event lasts in number of days, weeks, months, or years and select Day(s), Week(s), Month(s), or Year(s) as applicable.

Click the Save button to save the project.

2.2 Create a recurring project

You can create a recurring project for the following situations.

  1. When you have a project with events that will occur more than once. For example, a weekly Meatless Monday, or a Veganuary that recurs every year.
  2. When you have a continuous project that you want to track at a certain frequency. For example, an overall transition to more plant-based food that you want to report on every month.

 

The term event can also be interpreted as an ‘occurrence’ or ‘tracking period’.

Create a new project and enter the information for the first occurrence.

To make your project recurring, switch on the toggle button under Recurring.

Information fields appear under Recurrence where you can specify the frequency of the recurrence and duration of the project.

Under Recurs every, enter how often the events happen per week, month, or year and select Week(s), Month(s), or Year(s) as applicable.

Examples:

  • For a weekly Meatless Monday, the duration is ‘1 day’, the recurrence ‘1 week’.
  • For an annual Veganuary, the duration is ‘1 month’, the recurrence ‘1 year’.
  • For a transition to 80% plant-based that you want to report on every month, the duration is ‘1 month’ and the recurrence is ‘1 month’.

 

NOTE: the recurrence frequency needs to be at least the event duration.

Under End date, enter the date when the last event is finished. Select a date from the date picker by selecting the year, month, and day. Alternatively, you can type the date in the format DD/MM/YYYY.

NOTE: if you enter an end date that falls on an event day, then the software automatically selects the first date after the last event.

At the bottom of the recurrence data fields, you see a summary of the recurrence information.

Click the Save button to save the project.

2.3 Edit a project

Click on the Project tab in the Calculator view to open the project information.

You can edit the information of an existing project as described under create a new project and create a recurring project.

Click the Save button to save your changes.

Review the warning pop-up and click Save to confirm your changes.

NOTE:

  • If you change the start date or duration, then all Forecast and Actuals data are deleted.
  • If you change the recurrence frequency, then all Actuals data are deleted.
  • If you change the end date, then all Actuals data after the end date are deleted.

3. Edit forecast data

When you plan an initiative, you may want to understand the potential impact of an initiative to help decision making and get buy-in from stakeholders. In the Forecast tab, you can provide estimates for the future performance of the initiative across different countries.

3.1 Open the forecast tab

You can enter the estimated performance data of a project under the Forecast tab.

Click on the Forecast tab in the Calculator view to edit forecast data.

3.2 Select initiative type

Click on the Initiative type dropdown and select if you want to track the project impact based on the number of Participants, number of Meals served, or Weight served.

Examples:

  • For an initiative with participants such as Veganuary, you can track the number of Participants.
  • For a Meatless Monday, you can track the number of Meals served or Weight served.
  • For a transition to 80% plant-based food, you can track the Weight served.

 

NOTE: If you change the initiative type after you have previously entered forecast or actual data and save the changes, then all forecast and actual data is deleted and can’t be recovered.

3.3 Add a country

You can choose a country that best represents the cultural context of the project. The impact of your initiative is calculated compared to the average diet of the reference country you select.

Click Add country.

Select a country by scrolling through the country list or by typing the name of the country in the search field.

If you use Livvie Business Pro, you can add multiple countries.

3.4 Delete a country

Click on the cross icon on the right of the country to delete the country.

Review the pop-up and click Delete to confirm.

3.5 Edit forecast for initiatives with participants

Choose this option if you organise an initiative where a group of participants tries to eat less animal products for a certain period. Even if the challenge is eating vegan, participants may not adhere to that perfectly. That is why you can estimate and track the impact based on the average adherence.

Examples are Veganuary and a 7- or 30-day vegan challenge.

Select Participants in the Initiative type dropdown.

Add a country. Under Participants, enter the estimated number of participants for a single event (or ‘occurrence’ or ‘tracking period’).

You can enter how often participants avoided meat, fish, dairy, or egg in 2 ways:

  1. In the first row next to days per participant, enter the estimated number of days an average participant eats Without meat, Without fish, Without dairy, and Without egg during the event period. Below the number of days per participant, you see the percentage of participant days without meat, fish, dairy, and egg of the total days per event.
  1. In the second row next to of event days (%), enter the estimated percentage of days an average participant eats Without meat, Without fish, Without dairy, and Without egg during the event period. Above the percentage of event days, you see the number of days an average participant eats without meat, fish, dairy, and egg.

3.6 Edit forecast for initiatives based on number of meals served

Choose this option if your initiative aims to increase the number of vegetarian or vegan meals you serve during a certain period or in the longer term. To track the impact, you need to have data on the number of meals served and whether they contain meat, fish, dairy, or egg.

Examples are a Meatless Monday or a longer-term initiative to increase the percentage of vegetarian or vegan meals served.

Select Meals served in the Initiative type dropdown.

Add a country. Under Meals served, enter the estimated total number of meals served for a single event (or ‘occurrence’ or ‘tracking period’). This number includes all meals, with or without animal ingredients.

You can enter how many meals are served with meat, fish, dairy, or egg in 2 ways:

  1. In the first row next to of which, enter the estimated number of meals served With meat, With fish, With dairy, and With egg during the event period. Below the number of meals, you see the percentage of meals served with meat, fish, dairy, and egg.
  1. In the second row next to of which (%), enter the estimated percentage of meals served With meat, With fish, With dairy, and With egg during the event period. Above the percentage of meals served, you see the number of meals served with meat, fish, dairy, and egg.

 

NOTE: One meal can contain different animal ingredients. In that case, you need to count the meal under each ingredient.

Example:

Of 100 meals, 60 meals contain only meat, and 30 meals contain both meat and dairy. Then:

  • Total meals served: 100
  • With meat: 90
  • With dairy: 30

3.7 Edit forecast for initiatives based on weight served

Choose this option if your initiative aims to increase the amount of vegetarian or vegan food you serve during a certain period or in the longer term. To track the impact, you need to have data on the total weight of ingredients served or purchased and the weight of meat, fish, dairy, and egg.

Examples are a Meatless Monday or a longer-term initiative to reduce the amount of animal-based food served.

Tip: Purchase data may be easier to obtain than the amount of food served and takes into account food waste.

Select Weight served in the Initiative type dropdown.

Add a country. Under Weight served, enter the estimated total weight served during a single event (or ‘occurrence’ or ‘tracking period’). This number includes all foods, whether plant-based or animal-based ingredients.

You can enter the amount of meat, fish, dairy, or egg served in 2 ways:

  1. In the first row next to of which, enter the estimated weight of Meat, Fish, Dairy, and Egg served during the event period. Below the weight served, you see the percentage of meat, fish, dairy, and egg served of the total weight of food served.
  1. In the second row next to of which (%), enter the estimated percentage of Meat, Fish, Dairy, and Egg served during the event period of the total weight of food served. Above the percentage of weight served, you see the weight of meat, fish, dairy, and egg served.

3.8 Save changes in forecast data

Click the Save button to save your changes.

If you have previously saved forecast or actual data, review the pop-up and click Save to save your changes.

NOTE: Data entered in the Forecast tab will populate and overwrite all future events in the Actuals tab.

4. Edit actual data

When an event or reporting period has finished, you can edit the actual performance data in the Actuals tab to refine the impact of the event.

NOTE: Any changes you make in the Actuals tab are immediately saved and can’t be undone.

4.1 Open the actuals tab

You can enter the actual performance data of a project under the Actuals tab.

Click on the Actuals tab in the Calculator view to edit actual data.

4.2 View actuals for an event

When you open the Actuals tab, you see a list of events organised by date. If you have created a project with recurring events, you see multiple events. Depending on the initiative type, you see the total participants and days, meals served, or weight served per event.

If you have added multiple countries (Pro plan only), you see the total of all countries per event.

Click on an event or the dropdown arrow on the right of the event to view the detailed actual data per event and per country.

4.3 Add a country

Under a future event in the Actuals tab, you see the countries you have added in the Forecast tab. If a certain event happened in an additional country, you can add a country for that event.

Click Add country.

Select a country by scrolling through the country list or by typing the name of the country in the search field.

If you use Livvie Business Pro, you can add multiple countries. If you use the free version and click on Add country, then the country you selected previously in the Forecast tab or Actuals tab will be added automatically.

4.4 Delete a country

Click on the cross icon on the right of the country to delete the country.

Review the pop-up and click Delete to confirm.

4.5 Edit actuals for initiatives with participants

Click on the event you want to edit or on the dropdown arrow on the right of the event.

Under Participants, enter the actual number of participants for the event (or ‘occurrence’ or ‘tracking period’).

You can enter how often participants avoided meat, fish, dairy, or egg in 2 ways:

  1. In the first row next to days per participant, enter the actual number of days an average participant ate Without meat, Without fish, Without dairy, and Without egg during the event. Below the number of days per participant, you see the percentage of participant days without meat, fish, dairy, and egg of the total days per event.
  1. In the second row next to of event days (%), enter the actual percentage of days an average participant ate Without meat, Without fish, Without dairy, and Without egg during the event. Above the percentage of event days, you see the number of days an average participant ate without meat, fish, dairy, and egg.

4.6 Edit actuals for initiatives based on number of meals served

Click on the event you want to edit or on the dropdown arrow on the right of the event.

Under Meals served, enter the actual total number of meals served during the event (or ‘occurrence’ or ‘tracking period’). This number includes all meals, with or without animal ingredients.

You can enter how many meals were served with meat, fish, dairy, or egg in 2 ways:

  1. In the first row next to of which, enter the actual number of meals served With meat, With fish, With dairy, and With egg during the event. Below the number of meals, you see the percentage of meals served with meat, fish, dairy, and egg.
  1. In the second row next to of which (%), enter the actual percentage of meals served With meat, With fish, With dairy, and With egg during the event. Above the percentage of meals served, you see the number of meals served with meat, fish, dairy, and egg.

 

NOTE: One meal can contain different animal ingredients. In that case, you need to count the meal under each ingredient.

Example:

4.7 Edit actuals for initiatives based on weight served

You can enter the amount of meat, fish, dairy, or egg served in 2 ways:

  1. In the first row next to of which, enter the actual weight of Meat, Fish, Dairy, and Egg served during the event. Below the weight served, you see the percentage of meat, fish, dairy, and egg served of the total weight of food served.
  1. In the second row next to of which (%), enter the actual percentage of Meat, Fish, Dairy, and Egg served during the event of the total weight of food served. Above the percentage of weight served, you see the weight of meat, fish, dairy, and egg served.

4.8 Download initiative data

If you use Livvie Business Pro, you can download the actual data of your initiative.

Click on the Download data button.

Your data is downloaded to your downloads folder as a .csv file with the following column headers.

  • Project name: The name of your project.
  • Event: The start date of the event formatted as YYYYMMDD.
  • Country: The data per country and the event total.
  • Element: Description of the value.
  • Parameters: Values for each parameter.

 

NOTE: In the .csv file, the dot (“.”) is used as a decimal separator. Take this into account when you import the file into other software applications.

5. View project impact

In the Impact tab, you can view the positive impact of your initiative on 22 parameters representing the environment, animal welfare, and people health.

5.1 Open the impact tab

You can view the impact of a project under the Impact tab.

Click on the Impact tab in the Calculator view to view the project impact.

5.2 Select the impact context

You can view the impact in different contexts.

Click on the Context dropdown and select if you want to view the impact per Project, Event, or Event day. Depending on the initiative type, you can also view the impact per Participant, Meal, or 1.000 kg or 1.000 lb.

5.3 View the impact per event

Click on the parameter you want to view or on the dropdown arrow on the right of the parameter.

5.4 Impact definitions

The Impact vs average diet is defined as the footprint savings of your initiative compared to the footprint of the average diet of the reference country (footprint average diet minus footprint initiative).

If the absolute impact is positive, your initiative has a lower footprint compared to the average diet. If the impact is negative, your initiative has a higher footprint compared to the average diet.

The impact percentage shows the relative savings compared to the average diet. If the percentage is positive, the value shows how much lower the footprint of your initiative is compared to the average diet. If the percentage is negative, the value shows how much higher the footprint of your initiative is compared to the average diet.

  • Impact per Project: The top row of a parameter shows the total impact of the project as the sum of all past and future events. The event rows show the total impact per event.
  • Impact per Event: The top row of a parameter shows the average impact of an event across all past and future events. The event rows show the total impact per event.
  • Impact per Event day: The top row of a parameter shows the average impact of a single event day across all past and future events. The event rows show the average impact per day for the event.
  • Impact per Participant: The top row of a parameter shows the average impact for a single participant across all past and future events. The event rows show the average impact per participant for the event.
  • Impact per Meal: The top row of a parameter shows the average impact for a single meal across all past and future events. The event rows show the average impact per meal for the event.
  • Impact per 1.000 kg or 1.000 lb: The top row of a parameter shows the average impact per 1.000 kg or 1.000 lb (depending on your settings) across all past and future events. The event rows show the average impact per 1.000 kg or 1.000 lb for the event.

5.5 Download impact data

If you use Livvie Business Pro, you can download the impact data of your initiative.

Click on the Download data button.

Your data is downloaded to your downloads folder as a .csv file with the following column headers.

  • Project name: The name of your project.
  • Event: The date of the event formatted as YYYYMMDD.
  • Element: Description of the value.
  • Parameters: Values for each parameter.

6. Manage the system

6.1 Open the system settings

You can manage system settings and view system information under the System tab in the Settings view.

Click on the settings icon in the main navigation menu to open the Settings view on the System tab.

6.2 Configure system settings

You can manage system settings under Preferences.

Click on the unit dropdown to select Metric or Imperial units. If you choose Imperial units, the system will display weights and other parameters in lb and ft where relevant.

Click on the decimal separator dropdown to select “, comma” or “. dot” as the decimal separator.

6.3 View system information

Under System information, you can view the version of the software and the manufacturer.

Click on Terms of Service to open the link to the terms for using the Livvie services.

Click on Privacy Policy to open the link to the privacy policy of Livvie.

Click on Third party licenses to view the open source licenses used to develop the software.

Click on Data model references to view the scientific references that are used to develop the data model.

7. Manage your account

7.1 Open the account settings

You can manage your account under the Account tab in the Settings view.

Click on the profile icon in the main navigation menu to open the Settings view on the Account tab.

7.2 Edit your user profile

Under First name, enter your first name. This name is used to address you in communications related to the service.

Under Last name, enter your last name.

Click the Save button to save the changes to your user profile.

If you have created an account with email, you can change your password.

To change your password, click on Change password. In the pop-up, enter your current password and a new password that contains at least 8 characters with 1 lower case letter, 1 capital letter, 1 number, and 1 special character. Enter your new password again. Click on Change password to save your new password.

7.3 Edit your organisation profile

Under Organisation name, enter the name of your organisation.

Click the Save button to save the changes to your organisation profile.

7.4 Log out

You can log out of the system in 2 ways:

  1. Click on the log out icon in the main navigation menu.
  2. Click on Log out in the Account tab in the Settings view.

8. Manage your subscription

For managing paid subscriptions, we partner with Stripe.

8.1 Upgrade from Starter to Pro

If you are using the free Starter plan you can upgrade to Pro to unlock 22 parameters, multiple countries, additional projects, and data export.

Click on the billing icon in the navigation menu to view your current plan.

Click on Upgrade to Pro. Livvie Business Pro is only sold to businesses. Confirm you are purchasing as a business.

Click Continue to open the payment portal. Enter your billing details to create a payment account.

NOTE: Subscriptions are billed annually in advance and will automatically renew at then current rates.

8.2 Change your subscription

If you are using Livvie Business Pro, you can change your subscription in the customer portal.

Click on the billing icon in the navigation menu to view your current plan.

Click on Manage subscription to open the customer portal.

In the customer portal, you can add more projects, view your invoices, cancel your subscription, and change your billing details.

NOTE: If you expand your subscription, then the payment amount will be pro-rated to the remaining time left in your billing period.

9. Get support

9.1 Open the support tab

Click on the help icon in the main navigation menu to open the Settings view on the Support tab.

9.2 Learn how to use the software

You can get help on how to use the software in 2 ways:

  1. Hover over an information icon to view quick guidance on how to use a functionality.
  2. Click on User guide in the support tab to open this user guide if you want to learn more about how to use the software.

9.3 Get help with the software

We highly value your experience, and you can reach out to us for support on any questions or issues in 2 ways:

  1. Click on Request support, if you have additional questions or want to report an issue. Fill out the details of your question or issue in as much detail as possible. Click the Send button to send your support request.
  1. Send us an email describing your question or issue at [email protected].

9.4 Delete your account and data

You can request to delete your account and data in accordance with our Terms of Service and Privacy Policy by sending us an email at [email protected].

9.5 Share feedback

We greatly welcome and appreciate your feedback about the software and our service.

Click on Share feedback and fill out the message.

Select the agreement box if you want to give us permission to use your message for marketing purposes.

Click the Send button to send your feedback.
